• Client & financial information — where we act as your accountant, this can include income, expenses, bank details, National Insurance number, Unique Taxpayer Reference, VAT registration details, payroll information, and other data required to prepare and file accounts and tax returns on your behalf.
• Identity verification data — as a regulated firm we are required by anti-money laundering (AML) regulations to verify the identity of our clients, which may involve proof of ID and proof of address.

How We Use Your Data

We only use your personal data where we have a lawful basis to do so. Depending on the context, this includes:

• Performance of a contract — to provide the accounting, tax, and company formation services you’ve engaged us for, including preparing and submitting returns to HMRC and Companies House on your behalf.
• Legal obligation — to comply with our regulatory, tax, and anti-money laundering obligations as a firm of accountants.
• Legitimate interests — to respond to enquiries, manage our client relationships, and improve our services, where this doesn’t override your rights and interests.
• Consent — where you’ve given us specific permission, for example to contact you about a new enquiry submitted through our website.

Sharing Your Data

We only share your personal data where necessary, and always with appropriate safeguards in place. This may include:

• HMRC and Companies House — where we act as your authorised agent to file returns and statutory documents on your behalf.
• Software and IT providers — including our cloud accounting, bookkeeping, and practice management software providers, who process data on our behalf under data processing agreements.
• Professional advisers — such as your previous accountant, where you’ve asked us to handle a switch and request professional clearance on your behalf.
• Regulatory & legal bodies — where required by law, regulation, or a valid legal request.

We do not transfer personal data outside the UK or European Economic Area unless a service provider requires it, in which case we ensure appropriate safeguards (such as Standard Contractual Clauses or an adequacy decision) are in place.

Data Retention

We retain personal data only for as long as necessary to fulfil the purposes we collected it for, including to satisfy legal, accounting, or reporting requirements.

As accountants, we’re subject to statutory record-keeping requirements — for example, HMRC generally requires self-assessment records to be kept for at least 5 years after the relevant filing deadline, and limited companies are required to keep accounting records for at least 6 years from the end of the financial year they relate to. We retain client records in line with these obligations, and in accordance with our professional body’s (AAT/ACCA) guidance.

Where you’ve made a general enquiry that doesn’t lead to us acting for you, we’ll retain your details for a reasonable period to follow up, after which they are securely deleted.

Your Rights

Under UK GDPR, you have the right to:

• Request access to the personal data we hold about you
• Request correction of inaccurate or incomplete data
• Request erasure of your data, where we’re not required to retain it for legal or regulatory reasons
• Object to or restrict certain types of processing
• Request a copy of your data in a portable format
• Withdraw consent at any time, where processing is based on consent
